What exactly does your project management service include?
We provide end-to-end coordination of your warehouse project: vendor scheduling and coordination, material and freight logistics, permit submission and inspection management, budget tracking, schedule maintenance, stakeholder communication, and problem resolution. You get a dedicated project manager who owns the outcome.
Do you only manage projects you design and install?
No. While we often manage projects end-to-end (design through installation), we also provide standalone project management for customers who have their own vendors but need professional coordination. If you've purchased equipment from someone else but need help getting it installed properly, we can help.
How involved do we need to be during the project?
That's up to you. Some customers want weekly calls and detailed reports. Others want us to handle everything and just let them know when it's done. We adapt our communication cadence to your preferences. At minimum, we recommend a weekly status update so you're never surprised.
What size projects do you manage?
Everything from single-facility racking installations (2-4 weeks) to multi-phase automation projects spanning months. Our project management approach scales to fit—simpler projects get streamlined oversight, complex projects get the full coordination treatment.
How do you handle communication with our team?
You'll have a dedicated project manager as your single point of contact. We provide weekly written status reports, schedule regular check-in calls (frequency based on your preference), and maintain an open line for urgent issues. We also provide executive summaries for leadership when needed.
What project management tools do you use?
We use professional scheduling software with Gantt charts, milestone tracking, and dependency management. You'll have visibility into the schedule and can see status updates in real-time. We don't rely on spreadsheets and email chains—we use tools built for this work.
How do you handle changes or issues that come up?
Field conditions change—that's reality. When issues arise, we assess impact, develop options, communicate clearly, and execute quickly. Our goal is to solve problems before they affect the schedule. If a change does require timeline or budget adjustment, we discuss it with you immediately—no surprises.
How often will we receive status updates?
At minimum, weekly written reports covering progress, upcoming activities, issues and risks, and budget status. Many customers also want a weekly call to discuss the report. For complex projects or critical phases, we can increase frequency to daily updates if needed.
How do you coordinate multiple vendors and contractors?
We establish clear schedules with each vendor, manage dependencies (who needs to finish before the next trade can start), hold coordination meetings, and resolve conflicts before they affect the timeline. Everyone knows what's expected and when—because we've communicated it clearly and followed up.
What if a vendor or contractor causes a delay?
That's exactly why you have us. We monitor progress continuously and address slippage immediately—adjusting schedules, bringing in additional resources, or finding alternative solutions. When vendors know a professional PM is tracking their work, they tend to perform better.
Do you work with our existing vendors, or do we need to use yours?
Both. We can manage your existing vendor relationships or bring in our network of vetted installers, contractors, and service providers. Often it's a mix—you might have a preferred fire protection contractor while we provide the racking installation crew.
What about the general contractor? Do you work with them?
Absolutely. On new construction or major renovation projects, we coordinate closely with the GC to ensure warehouse systems are integrated properly with the overall construction schedule. We've worked with GCs across the country and understand how to integrate our work with theirs.
